First Phase Data Saves Large Retail Chain Big Dollars with a Xerox Managed Print Solution

What does a big retail chain do when they’re wasting significant time and money trying to manage all the different printers in all their stores?
First Phase Data has the answer – a managed print solution that saves the client real-time and real money.

The Company

The client is a large Canadian retail chain with more than 120 stores across the country. They use various models of entry-level Samsung printers at each retail location – hundreds of different printers that all need to be managed on a day-to-day basis.

The Challenge

Not surprisingly, managing all those printers became a significant challenge for the company and its IT staff. The issues were aplenty.

First, when those printers and their users had issues – as printers and users inevitably do – the company’s IT staff had difficulty troubleshooting those issues. It was especially difficult for the centralized staff to troubleshoot remotely, over the phone, for the 120 different locations.

The company found itself replacing printers when staff couldn’t effectively diagnose issues that arose. That meant they were spending money on replacement equipment that they didn’t necessarily need to spend.

In addition, the company’s printers had a high operating cost because the company was using remanufactured toners. What seemed like a cost-saving measure ended up costing the company more money because those remanufactured cartridges often delivered less-than-new performance – lower page yields and lesser print quality. (Remember, a remanufactured cartridge is still a used cartridge and is less durable than a new unit. Poorly remanufactured cartridges can also cause printer damage.)

Not surprisingly, with so many different printer models to manage, the company had issues with staff not always ordering the correct supplies for each device. That led to printer downtime until the right supplies were reordered and received.

The proliferation of printer models also resulted in the client accumulating a massive inventory of different toner cartridges for all those different devices. The inventory management problem got even worse when the wrong cartridges were ordered for various machines.

In all, printer management quickly became an untenable and expensive situation for the company. Then they called First Phase Data.

The Solution

The print experts at First Phase Data did an in-depth review and cost analysis for the client. We examined what the company was printing, analyzed their print volumes, and determined the operational cost for each printer. (That cost analysis included both the cost of toner and of replacing each printer.)

To solve the client’s problem, First Phase Data implemented a Xerox Managed Print Program. The goal was to both reduce operating costs and reduce the amount of time the client’s staff spent managing printers and print services.

The Managed Print Program involved six separate actions:

  • Refreshing the print environment. The company standardized on a single standard printer model for all locations. This simplifies both printer support and cartridge replacement.
  • Switching to Xerox business printers. The new printers cost 25% less to operate than the previous models, are more durable, and use more reliable OEM toner cartridges.
  • Implementing an automated toner fulfillment program. When a device requires toner, a new cartridge is automatically sent to that location. That results in less inventory to manage and less printer downtime.
  • Including an onsite service agreement. First Phase Data provides onsite service for all print devices. This agreement covers both parts and labour.
  • Encouraging proactive printer service. First Phase Data provides rapid service no matter where in Canada the printer is located. The same service is provided whether the location is in a big city or in a small remote location.
  • Facilitating easier billing. For the customer’s convenience, billing is now broken down by location. This better matches the company’s internal accounting procedures.

The Results

The client immediately benefited from this new Managed Print Program. By standardizing on a single printer model, automating toner fulfillment, and managing all printer service, First Phase Data enabled the client’s IT department to spend less time touching and troubleshooting print devices. That allowed IT staff to spend more time dealing with more pressing technical issues. It also led to happier store managers, who spent less time dealing with their printers and experienced less printer downtime.

Equally important, the Managed Print Program saved the company significant sums of money. The client experienced a 33% reduction in print costs the first year alone, and in each year following, the program was a rousing success – thanks to Xerox printers and the print experts at First Phase Data.
